Job Summary:


We are seeking a proactive and experienced Admin Manager to oversee office management, liaise with local government and private institutions, and coordinate logistics in our Dubai office. The ideal candidate will have extensive experience in managing office operations, interacting with governmental authorities, and handling logistics such as fleet management and accommodation arrangements. This position requires a highly organized individual with excellent communication and negotiation skills, particularly with local entities in Dubai.

Key Responsibilities:

  • Office Management:
    Oversee day-to-day operations of the office, ensuring a smooth and efficient work environment. Manage office supplies, equipment, and facilities to support the operational needs of the company.

  • Liaison with Government and Local Institutions:
    Act as the primary point of contact with local government agencies, including authorities related to permits, licenses, visas, and other official requirements. Ensure the company’s compliance with all local laws and regulations. Liaise with private institutions, service providers, and vendors to maintain good relationships and ensure timely service delivery.

  • Fleet Management:
    Oversee the company’s vehicle fleet, including vehicle maintenance, registration, insurance, and scheduling. Ensure that fleet-related policies and procedures are followed, and ensure cost-effective management of the fleet.

  • Accommodation & Logistics Management:
    Coordinate accommodation arrangements for staff, visitors, or executives, including booking, contracts, and relocation services. Oversee logistics for staff, including transportation, travel arrangements, and any other related activities.

  • Administrative Support:
    Provide administrative assistance to senior management as required, including organizing meetings, preparing reports, and maintaining office documentation. Ensure that all administrative tasks are completed accurately and on time.

  • Vendor and Service Management:
    Identify and manage relationships with vendors and service providers (e.g., cleaning, maintenance, catering, and security services). Negotiate contracts, monitor service levels, and resolve any issues related to third-party vendors.

  • Health, Safety & Compliance:
    Ensure compliance with all relevant health and safety regulations in the office and workspaces. Maintain office security protocols and ensure staff and visitor safety at all times.

Required Qualifications & Experience:

  • Minimum 5 years of experience in administrative management, with a focus on office operations, logistics, and liaising with local authorities.
  • Experience working in Dubai is a must, with a deep understanding of local government processes, regulations, and customs.
  • Demonstrated experience in managing fleet operations, accommodation, and logistics in a corporate environment.
  • Strong knowledge of local governmental procedures, including visa processing, licensing, and official permits in Dubai.
  • Proven ability to handle administrative tasks, coordinate events, and provide comprehensive office support to senior leadership.
  • Excellent organizational and multitasking skills, with the ability to prioritize and meet deadlines.
  • Strong communication skills in English (Arabic language skills are a plus).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office management software.
