Confidential Secretary

Job Summary:
We are seeking a highly organized and detail-oriented Confidential Secretary to provide administrative and executive support in our Dubai office. The ideal candidate will have prior experience in a similar role, preferably as a Confidential Secretary, and will be responsible for managing confidential and sensitive information with the utmost discretion and professionalism. This position requires strong communication skills, excellent time management, and the ability to handle a variety of tasks in a fast-paced office environment.
Key Responsibilities:
- Provide administrative and secretarial support to senior management, ensuring smooth and efficient operations.
- Handle confidential information with a high level of discretion and professionalism.
- Manage calendars, appointments, and scheduling for executives and senior leadership.
- Prepare and proofread confidential reports, documents, and presentations.
- Coordinate and schedule meetings, including organizing travel arrangements and accommodation for senior executives.
- Screen and manage incoming communications (emails, phone calls, etc.) and redirect them as appropriate.
- Maintain accurate filing systems, ensuring that all documents and records are securely stored and easily accessible.
- Organize and manage internal and external correspondence in a confidential manner.
- Assist with preparing and maintaining confidential business materials, presentations, and reports.
- Provide general administrative support, including handling inquiries, preparing meeting agendas, and taking minutes when necessary.
- Collaborate with other administrative staff to ensure the smooth functioning of the office.
Required Qualifications & Experience:
- Proven experience as a Confidential Secretary or in a similar administrative role, preferably within a corporate or senior management environment.
- Excellent organizational skills with the ability to manage multiple tasks and deadlines.
- Strong attention to detail and accuracy in all aspects of the role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software tools.
- Strong verbal and written communication skills in English. Additional language skills are a plus.
- Ability to maintain confidentiality and handle sensitive information with integrity.
- Proactive, resourceful, and able to work independently as well as part of a team.
- Strong interpersonal skills and the ability to interact with senior leadership, clients, and stakeholders.
Preferred Skills and Attributes:
- Prior experience as a Confidential Secretary or in a similar position will be considered a significant advantage.
- Familiarity with office management systems and procedures.
- Previous experience working in a corporate or international office environment in Dubai is preferred.
- Discretion, professionalism, and the ability to handle high-pressure situations effectively.
