Senior Executive Assistant – Legal, HR & Strategic Operations

Job Summary

We are seeking a highly organized, proactive, and detail-oriented Senior Executive Assistant – Legal, HR & Strategic Operations to support the Founder across multiple ventures. This role requires a dynamic professional who can seamlessly manage executive priorities while coordinating legal, HR, and strategic operational activities.

The ideal candidate will possess strong business judgment, a solid understanding of legal documentation and HR processes, and the ability to operate effectively in a fast-paced, founder-led environment with a high degree of confidentiality and ownership.


Key Responsibilities

Founder & Strategic Support

  • Manage and optimize the Founder’s time, priorities, and workflow across multiple business interests.
  • Prepare, organize, and summarize key documents including contracts, NDAs, term sheets, equity structures, and funding materials.
  • Draft and refine professional communications such as emails, executive memos, legal summaries, and briefing notes.
  • Prepare meeting materials, track action items, and ensure timely follow-ups on strategic discussions and negotiations.

Legal Coordination & Governance

  • Conduct preliminary reviews of standard agreements (NDAs, contractor agreements, Statements of Work) prior to external legal review.
  • Maintain strict version control and secure storage of all legal and contractual documents.
  • Support corporate governance, compliance tracking, and intellectual property documentation.
  • Coordinate with external legal counsel and ensure timely progress on all legal matters.

Project & Document Management

  • Track key deliverables, approvals, and milestones related to legal, funding, and strategic initiatives.
  • Develop structured due diligence folders, document checklists, and investor-ready information packages.
  • Act as the central coordination point between internal teams and external advisors (legal, financial, and strategic).
  • Maintain well-organized digital filing systems and document repositories.

Executive Operations

  • Coordinate and schedule high-level meetings with stakeholders including investors, banks, attorneys, and partners.
  • Develop and maintain SOPs, templates, and standardized communication frameworks.
  • Proactively identify risks, inconsistencies, and missing information across projects and documentation.
  • Ensure disciplined follow-up, accountability, and timely execution of key activities.

Human Resources Support

  • Support end-to-end recruitment coordination including job postings, candidate screening, interview scheduling, and communication.
  • Maintain employee records, contracts, NDAs, and personnel documentation with strict confidentiality.
  • Manage onboarding and offboarding processes, including documentation, system access, and compliance checklists.
  • Assist in preparing employment and contractor agreements in coordination with legal counsel.
  • Track probation reviews, performance check-ins, contract renewals, and key employee milestones.
  • Support the implementation and documentation of HR policies, SOPs, and internal processes.
  • Coordinate remote workforce administration including time-off tracking, engagement, and internal communication.
  • Identify and escalate people-related risks, capacity gaps, and organizational concerns to management.

Qualifications & Experience

  • Bachelor’s degree in Law, HR, Business Administration, or a related field.
  • Paralegal certification, legal studies background, or HR qualification/diploma is strongly preferred.
  • Minimum 3+ years of experience supporting senior executives, founders, legal teams, or HR operations in a fast-paced environment.
  • Strong understanding of legal terminology, contracts, and basic deal structures.
  • Good knowledge of end-to-end HR processes from recruitment to offboarding.
  • Exceptional organizational and multitasking abilities with strong attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work independently, manage multiple priorities, and meet tight deadlines.
  • High level of discretion and professionalism in handling confidential information.
